Every trip your advisors sell ends in two jobs the client never sees: turning a stack of supplier confirmations into one itinerary they will actually read, and making sure every traveler can board. Our itinerary and document processing team does both — itineraries built in your template and your itinerary tool, passports and entry requirements checked against Timatic, and anything that doesn't match flagged to your advisor before final documents go out.

Booked Is Not the Same as Ready to Travel

A booked trip is still a pile of confirmations — an airline e-ticket, three hotel emails, a transfer voucher, a tour operator's PDF. Someone has to turn it into one document the client will read, and it is usually the advisor who sold the trip, after hours.

The costly mistakes hide in the same pile. A passport that runs out too soon for the destination's validity rule. A ticket issued in a nickname instead of the name on the passport. A connection that stopped working when the airline moved a flight. None is hard to catch. All are easy to miss when checking is nobody's job. Hire us to make it somebody's.

Unlock Outsourcing Potential

Our Itinerary & Document Processing Services

All of this is non-voice work, done in your systems before the traveler leaves. Changes travelers ask for — new dates, cancellations, rebookings — are handled by our travel agency outsourcing team, and fares and ticket audits by our airfare auditing and fare filing team.

Queue work, fares and documents are all part of our wider travel back office outsourcing coverage.

Itineraries Built from Confirmations

Forward the airline, hotel, transfer and tour confirmations. The itinerary comes back built in your template and itinerary tool — times, addresses, confirmation numbers and supplier contacts in one place.

Final Document Packs

E-tickets, vouchers, transfer instructions and your destination notes assembled for each traveler, checked against the itinerary, and ready for your advisor to send on the schedule you set.

Advisors Back on Selling

An itinerary built from a dozen confirmations is time an advisor isn't spending with the next client. Hand over the build and keep the relationship.

Caught at the Desk, Not the Gate

A passport or visa gap found weeks before departure is a phone call. Found at check-in, it is a missed trip and a client who blames the agency.

Your Template, Every Time

Every itinerary goes out in the same format, with the same details in the same place, whichever advisor sold the trip.

Cost Savings

Itinerary building doesn't need an advisor's salary behind it. Philippine-based specialists do the same work at a fraction of onshore staffing cost, and you add them for your busiest booking months rather than carrying the headcount all year.

Compliance and Data Security, Built In

Itinerary and document work means handling passport numbers, dates of birth and travel plans for every client on your books — and that trust is only worth extending to a partner who can show its safeguards. Magellan Solutions operates under certified security standards, documented confidentiality policies, and business continuity planning that keep traveler data protected.

Magellan holds ISO 27001 and PCI-DSS certifications — the recognized benchmarks for information security, payment data, and protected customer information. See our certifications.

Controlled Data Access icon
Controlled Data Access

Network and IT infrastructure sits in secured, IT-only locations. Workstations and servers are password-protected across access levels, and physical data-entry points are disabled to prevent unauthorized transfer.

Enforceable Confidentiality

Every employee signs a confidentiality agreement before job assignment — subject to Philippine law and prosecutable on breach. Passport details and traveler records are visible only to the team assigned to your account.

Continuity You Can Count On icon
Continuity You Can Count On

Continuous data backup with off-site copies, a co-location plan with a backup center outside a 10-mile radius, and power-blackout protection — so itinerary and document work doesn't stop when circumstances change.

Who We Support

Leisure Agencies & Host-Agency Advisors

Multi-supplier trips sold by one advisor, who is usually the same person building the itinerary at night.

Custom & Group Tour Operators

Final documents for every departure, and a passport check for every name on the manifest.

Destination Management Companies

Day-by-day programs assembled from local supplier confirmations for the agencies that sold them.

Travel Management Companies

Traveler names and passport data kept complete, so every booking goes out with what the airline needs.
Don't see your business type? If you sell trips with more than one supplier in them, the work is the same shape. Send us a recent itinerary, with client details removed, and we'll show you how we'd build it.

Frequently Asked Questions

Do you help travelers get visas?
No. We check what each traveler needs — passport validity, visas, eTAs and transit rules — against Timatic for their nationality and route, and flag anything missing to your advisor with the source. Recommending a visa or preparing an application is immigration advice, which several countries license, so that stays with the traveler, a licensed adviser or your visa service.
What do you need from us to build an itinerary?
The supplier confirmations, your trip notes, and access to your itinerary tool and template. Most agencies forward confirmations to a shared inbox or queue; the finished itinerary comes back in your tool for the advisor to review and send.
Do you work in our itinerary software?
Yes — in yours, with your branding and content library, not in a parallel system. Access is provisioned by you, at the permission level you set.
What happens when a check finds a problem?
It is logged against the booking and flagged to the advisor with what was found, the source, and the departure date. Your advisor decides what to tell the traveler; we don't contact travelers unless you've asked us to.
When do the checks run?
Twice by default: when the booking is made, so there is time to renew a passport or apply for a visa, and again before final documents go out, to catch schedule changes and late name edits. The timing is set at onboarding.
Can you handle group trips?
Yes. Every name on the manifest gets the same passport, entry and name checks, and exceptions come back as one list per departure rather than forty separate emails.
