A tour operator is not reselling somebody else's inventory. The 9am departure has a fixed number of seats, a guide and a vehicle already committed, and a cut-off after which nothing can be added. Our tour operator booking support works to that constraint — availability checked against real capacity, meeting points confirmed before departure, and cancellations that reach every name on the manifest.

Your Travelers Are Ready to Book. Your Team Should Be Ready to Answer.

Tour customers often have questions before they commit to a reservation. They may want to confirm availability, understand what's included, check departure times, ask about pickup locations, compare tour options, or clarify cancellation policies.

Once a booking is confirmed, questions continue. Travelers may need itinerary information, request changes, ask about meeting points, or contact your team because their plans have changed.

When your operations team handles every customer interaction, these conversations can take time away from managing guides, schedules, suppliers, tour capacity, and daily operations.

Magellan Solutions provides dedicated travel support specialists who handle these customer-facing interactions while following your tour procedures, booking rules, escalation requirements, and brand standards.

Unlock Outsourcing Potential

Our Tour Booking / Operator Support Services

Tour operators need customer support throughout the entire traveler journey, from the first inquiry to the completed reservation and post-tour follow-up. Our specialists handle tour inquiries, booking requests, reservation questions, itinerary concerns, changes, cancellations, and traveler communication while following your established operating procedures.

Works Inside the Systems You Already Use

No disconnected reservations. No duplicate traveler records. No unnecessary re-entry.

Our travel specialists work within your existing CRM, booking engine, reservation platform, tour management system, customer support environment, and other approved tools. Teams follow your workflows for availability checks, reservations, booking changes, cancellations, customer communication, supplier coordination, and escalation.

This keeps traveler conversations connected to the appropriate reservation or tour request instead of requiring your internal team to manually reconcile customer information across multiple systems.

Somebody Answers While the Guide Is Out

A tour operator's staff are on the water, on the trail, or on the coach. Coverage that does not depend on whoever happens to be back in the office at the time.

Cover the Hours Around Departure

Tours leave early and travellers arrive from other time zones. The contact that decides whether somebody makes the boat lands the night before or at six in the morning.

A Season's Volume Without a Year's Headcount

Add seats for the season and give them back afterwards, instead of carrying a summer phone team through February.

Cost Reduction

Philippine delivery runs 40–60% below onshore staffing cost, without the desks, systems and seasonal hiring you would carry to match the coverage in-house.

Compliance and Data Security, Built In

Tour booking operations can involve traveler names, contact information, passenger details, travel dates, itineraries, reservation records, payment-related information, and other personal data. Magellan Solutions follows documented security, confidentiality, access-control, and business-continuity practices designed to protect information handled by our travel support teams.

Controlled Data Access

Network and IT infrastructure sits in secured, IT-only locations. Workstations and servers are password-protected across access levels, while physical data-entry points are disabled to help prevent unauthorized information transfer.

Enforceable Confidentiality

Every employee signs a confidentiality agreement before job assignment. Access to traveler, reservation, itinerary, and booking information is limited to the teams responsible for the account.

Continuity You Can Count On icon
Continuity You Can Count On

Continuous data backup, off-site copies, backup-center planning, and power-blackout protection help maintain tour support operations when unexpected circumstances affect normal business activities.

Frequently Asked Questions

Can agents take a booking after our cut-off?
Not by default. The cut-off is there because a manifest has to close, and agents work to it as written. Where you allow same-day exceptions, they apply your rule rather than deciding case by case.
What happens when we cancel a departure for weather or low numbers?
Agents work the manifest — every booked traveler contacted on the channel they gave you, to your script, with the alternative dates you have released. You get a list of who was reached and who has rebooked.
Can agents confirm meeting points and pickups?
Yes, and it is where most of the value sits. Confirmations go out before departure, and the traveler who is at the wrong place gets a person on the phone rather than a voicemail box.
Do you handle bookings that came through Viator or GetYourGuide?
Yes. A marketplace booking still generates questions only the operator can answer, and those calls come to you. Anything the platform itself has to action goes back to it rather than being worked around.
Can agents collect participant details and chase waivers?
Yes — ages, mobility and dietary requirements, and the outstanding waivers, so the manifest is complete before the guide needs it rather than after.
Will agents offer another date before processing a refund?
Where your policy allows it, yes, and it should. A traveler who cannot make Thursday will often take Saturday, and a rebooking keeps revenue that a refund does not.
