Legal Call Screening Service

Your attorneys shouldn't be the filter for your phone line. Magellan's legal call screening service puts a trained person between every caller and your team. Each call is checked against your criteria, then routed: a live transfer for the calls worth an attorney's time, intake for new matters, the right person for existing clients, and a polite decline for solicitations and matters outside your practice.

Every Call That Reaches an Attorney Should Have Earned It

Count the calls that reached an attorney last week and didn't need one. The marketing vendor. The caller with a matter you don't handle. The out-of-state prospect. The existing client who only wanted a status update. Each one takes a few minutes, and each one breaks the concentration on the work that actually bills.

Most firms try to fix this with a receptionist who "uses judgment", which works until that person is at lunch, on another line, or gone for the day. Then the calls go back to voicemail, or back to the attorneys.

Call screening replaces judgment calls with your rules. Every caller gets a few short questions, the same questions every time, and a clear next step. The calls that should reach an attorney get there faster. The ones that shouldn't never do.

Where Every Screened Call Goes

Live Transfer to an Attorney

Calls that meet your criteria (a qualified prospect, a referral source, a court, opposing counsel) are put through to the right attorney while the caller is still on the line, with a short summary first.

Your Screening Rules, Built With You

Screening works only as well as the rules behind it, so we write them with your firm during onboarding and change them whenever your practice changes. A typical screen covers:

  • Practice areas: the matters you take, the ones you refer out, and the ones you decline
  • Jurisdiction: the states, counties or regions you practice in
  • Minimum criteria: the facts a matter needs before it's worth an attorney's call, such as an injury with treatment, a filing deadline, or a dollar threshold
  • Priority callers: courts, opposing counsel, referral partners and key clients who always go straight through
  • Transfer rules: which attorney takes which calls, during which hours, and what happens when they're unavailable
  • After-hours handling: which calls reach the on-call attorney overnight and which wait for the morning

Agents ask only what's needed to route the call. They don't give legal advice, discuss fees or tell callers whether they have a case. Those decisions stay with your attorneys.

Screening, Answering, or Full Intake?

Screening sits between our other two levels of call coverage, and many firms combine all three.

Why Law Firms Outsource Call Screening

Fewer Interruptions

Attorneys and paralegals stop fielding vendor pitches, wrong-number matters and routine status calls

Good Calls Reach Attorneys Faster

Qualified callers are transferred live, not left with a message and a promise of a callback

The Same Decision Every Time

Every caller is screened against the same rules, whoever answers and whatever the hour

Referral Sources Put Straight Through

The people who send you cases never wait in a queue or reach voicemail

A Courteous "No"

Callers you can't help leave the call with a polite answer, not a voicemail box that never calls back

Rules That Change With Your Practice

Add a practice area, drop a jurisdiction or launch a campaign, and the screen is updated, with no retraining of in-house staff

Compliance and Data Security, Built In

We know that outsourcing legal work means trusting someone else with privileged and confidential client information — and that trust is only worth extending to a partner who can show its safeguards. Magellan Solutions operates under certified security standards, documented confidentiality policies, and business-continuity planning that keep client information protected.

Controlled Data Access

Network and IT infrastructure sits in secured, IT-only locations. Workstations and servers are password-protected across access levels, and physical data-entry points are disabled to prevent unauthorized transfer.

Enforceable Confidentiality

Every employee signs a confidentiality agreement before job assignment — subject to Philippine law and prosecutable on breach. Access to your data is limited to the team working your account.

Continuity You Can Count On icon
Continuity You Can Count On

Continuous data backup with off-site copies, a co-location plan with a backup center outside a 10-mile radius, and power-blackout protection — so work on your matters doesn't stop when circumstances change.

Frequently Asked Questions

What is a legal call screening service?
It's a trained team that answers your firm's calls, asks each caller a few qualifying questions, and routes the call by your rules: a live transfer to an attorney, a handoff to intake, a message for an existing client's team, or a polite decline. Your attorneys only speak to the callers who should reach them.
How is call screening different from legal intake?
Screening decides where a call should go. Intake completes the new-client record: the full matter description, conflict-check details and a booked consultation. Many firms use both, with screening at the front door and our legal intake call center taking the new matters it passes on.
How is it different from an answering service?
An answering service takes a message. Screening makes a routing decision on the call and, where your rules allow, transfers the caller live. If messages and after-hours coverage are all you need, our legal answering service is the simpler option.
Can you transfer calls live to our attorneys?
Yes, whenever you want it. Live transfer is set up to your preference: you decide which callers are transferred, to whom, and during which hours, or you can switch it off and receive messages instead. Agents give the attorney a short summary before connecting, and take a message if the attorney is unavailable.
What happens to callers you screen out?
They get a courteous answer. Solicitations are declined politely. Callers with matters outside your practice or jurisdiction are told so clearly and, if you choose, given the referral resources you provide. No one is left waiting for a callback that won't come.
Can screening rules differ by attorney or time of day?
Yes. Rules can vary by attorney, practice group, caller type and hour, for example live transfers during business hours and urgent-only escalation overnight.
Do your agents give legal advice or tell callers whether they have a case?
No. They ask only the questions needed to route the call. Whether a caller has a case, and what it would cost, are questions for your attorneys.
Can you screen calls in languages other than English?
Yes. We offer bilingual and multilingual call screening, so callers can explain their matter in the language they're most comfortable speaking, and the routing decision is the same whatever language the call is in. See our multilingual call center services.
